- How to contact us
1. Who we are
Inbound Shield is a software service operated by Inbound Shield LLC, a limited liability company organized in the State of New York ("Inbound Shield," "we," "us," or "our"). We provide an AI-assisted lead follow-up platform used by licensed insurance agents and agencies to respond to people who have requested a quote.
This policy explains what information we collect, why we collect it, who we share it with, and the choices you have. It applies to our website at getinboundshield.com, our application at app.getinboundshield.com, and the text messages and phone calls sent through our platform.
2. Information we collect
Information you give us directly
- Account information — name, business name, business email address, business phone number, and mailing address when you sign up as a customer.
- Business verification information — legal business name, Employer Identification Number, and business address, which are required by mobile carriers before a business is permitted to send text messages in the United States.
- Billing information — handled by our payment processor. We never see or store full payment card numbers.
- Content you configure — the messaging settings, business description, and follow-up guidance you enter into the application.
- Contact requests — anything you send us by email or through the chat widget on our website.
Information collected automatically
- Log and device data — IP address, browser type, pages viewed, and timestamps, used to operate and secure the service.
- Consent records — when someone submits a quote request form, we record the date and time, the IP address, the browser user agent, and the exact wording of the consent language shown to them. This is evidence of consent, kept so that we and our customers can demonstrate compliance.
Information we receive from our customers
- Lead information — the name, phone number, email address, and inquiry details of people who contacted one of our customers requesting an insurance quote. See Section 6 for how this category is treated differently.
3. How we use information
We use information to:
- Provide, operate, and maintain the service.
- Send text messages and place phone calls on behalf of our customers, to people who have consented to be contacted.
- Verify business identity with mobile carriers as required by United States messaging regulations.
- Record and honor opt-out requests, including the STOP keyword.
- Bill for the service and prevent fraud and abuse.
- Respond to support requests.
- Comply with legal obligations, including the Telephone Consumer Protection Act.
We do not sell personal information, and we do not use lead information to build advertising profiles or to market our own products to leads.
4. SMS and mobile information
This section describes our text messaging program and applies to everyone who receives a text message from Inbound Shield or from an agent using Inbound Shield.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
How consent is obtained
We send text messages only to people who have given prior express written consent. Consent is collected in one of two ways: by submitting a quote request form that displays clear consent language above the submit button, or by the person initiating a text message conversation themselves. Consent to receive text messages is never a condition of purchasing any goods or services.
What messages we send
Messages are conversational customer care and account-related follow-ups regarding an insurance quote the recipient requested — for example, confirming their request, asking what type of coverage they need, and arranging a time to speak with a licensed agent.
Message frequency
Message frequency varies and depends on the recipient's own replies. A typical follow-up sequence is a small number of messages, and messaging stops when the recipient replies, opts out, or the sequence completes.
Cost
Message and data rates may apply. Inbound Shield does not charge recipients for messages; your mobile carrier's standard rates apply.
How to opt out
Reply STOP to any message at any time to be removed. You will receive one confirmation message and no further messages to that number. Reply START to resume. Reply HELP for assistance, or contact us using the details in Section 14.
Delivery and quiet hours
Messages are not sent outside permitted local calling hours for the recipient's time zone. Mobile carriers are not liable for delayed or undelivered messages.
5. How we share information
We share information only in the following circumstances:
- With service providers who operate the platform — our hosting, database, messaging, telephony, and artificial intelligence providers. These providers process information solely to deliver the service to us and are contractually restricted from using it for their own purposes.
- With the customer whose lead it is — lead information is visible to the agent or agency that lead contacted, and to nobody else.
- When required by law — in response to a valid legal request, or to protect the rights, safety, or property of Inbound Shield, our customers, or the public.
- In a business transfer — if the business is sold or merged, information may transfer as part of that transaction, subject to this policy.
We do not sell personal information. We do not share personal information with third parties for their own marketing purposes. As stated in Section 4, mobile opt-in data and consent records are never shared with any third party.
6. Lead data belonging to our customers
When an insurance agent uses Inbound Shield, the information about that agent's leads belongs to the agent, not to us. We act as a service provider processing that information on the agent's instructions.
Each customer's data is isolated. Every record in our system is bound to a single customer account, and every query is filtered by that account. One customer cannot see, search, export, or message another customer's leads.
If you are a lead and want to know what information an agent holds about you, or want it deleted, contact that agent directly — they control the record. You may also contact us and we will route your request to the correct customer and assist them in responding.
7. Artificial intelligence processing
We use third-party large language models to draft message replies and to conduct voice conversations. Two safeguards apply:
- Personal information is masked before it reaches an AI model. Phone numbers, email addresses, and full names are reduced before the model sees them — for example a phone number becomes
+1***-***-1234, an email becomesj***@example.com, and a full name becomes a first name and last initial. - We do not permit our AI providers to train their models on your data.
AI-generated messages are constrained by rules that prohibit quoting prices, rates, premiums, or policy terms, and require the AI to identify itself as an AI assistant if asked directly whether it is a person.
8. Data retention
We keep account information for as long as your account is active and for a reasonable period afterward to meet legal, tax, and accounting obligations. We keep consent records and opt-out records for at least four years, because federal messaging rules require a business to be able to prove consent for that long. Lead information is retained for as long as the customer who owns it maintains an account, and is deleted on that customer's instruction or within a reasonable period after account closure.
9. Security
Data is encrypted in transit and at rest. Access to production systems is limited, credentials are stored outside of source code, and our application logging automatically redacts credentials and personal information so that sensitive values are never written to logs. No system is perfectly secure, but we take these measures seriously and continue to improve them.
10. Your privacy rights
Depending on where you live, you may have the right to request access to the personal information we hold about you, to request its correction or deletion, to opt out of its sale or sharing (note that we do not sell or share personal information), and not to be discriminated against for exercising these rights.
To make a request, contact us using the details in Section 14. We will verify your identity before acting, and will respond within the time required by applicable law. If your request concerns a lead record held by one of our customers, we will forward it to them as described in Section 6.
11. Cookies and analytics
Our application uses cookies that are strictly necessary to keep you signed in. Our website uses a chat widget provided by a third party, which may set its own cookies to maintain a conversation. We do not use advertising cookies and we do not run cross-site advertising trackers.
12. Children's privacy
Inbound Shield is a business tool and is not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact us and we will delete it.
13. Changes to this policy
We may update this policy. When we do, we will revise the "Last updated" date at the top of this page. If the change is significant, we will notify account holders by email. Continuing to use the service after a change takes effect means you accept the updated policy.
